Registration Process in a Hotel Front Office

Registration of guest is the most important process in the check-in of the guest. It's mandatory for the guest to go through the registration process no matter what their social or financial status is or there designation. Registration process is required for every guest checking in the hotel. It also doesn't matter if the guest is from within the country or a foreigner, however there are certain things differ in the registration process between a in country living person and a foreigner like showing passport, visa, filling up c-forms etc. The process of filling up the registration card given the to the guest by the hotel staff and signing it off is called Registration.

The agreement between the hotel and guest is known as simple contract and for simple contract to exist it requires three elements:
i) Offer - Offering Room Information
ii) Acceptance - Accepting the signature
iii) Valuable consideration - If it's value for money or not

Concept of Registration Process




Registration process has a following concept:-


  • Collection of information about the Hotel and the Guest: All necessary information about the guest such as their name, arrival date, departure date, type of room they would like to stay in, the rate of the room, their mode of payment etc. 

  • Product Matching: It's basically matching the demands of the guest and they are getting what they want and for valuable consideration as mentioned before which is value for money for the services provided. 

  • Revenue Management: It's basically how and when the revenue will be received from the guest and their method of payment. By cash, by travelers check, credit card, debit card, and also floor limit which is known as the credit limit.

  • Room Management: For how long the room will be occupied by the guest, maintained by the branches of Hotel while they are staying in and when it will be available for the next guest. 
System of Registration

Basically manual systems, semi-automatic or automatic systems. It's how the registration process is done from, in manual systems the process is done manually by filling up forms and storing up then. Semi Automatic and Automatic systems uses machines such as computers to store registration information and process them.
